Privacy policy

Proking Solutions is a software product studio based in Gauteng, South Africa. We are responsible for the personal information described in this policy under the Protection of Personal Information Act (POPIA). Our Information Officer handles privacy questions and requests, and can be reached at hi@proking.solutions.

We collect information you choose to give us, including:

• your name, email address, and the details you include in a message; and
• correspondence and project information you share with us when discussing or working on a product.

On the contact form, your name and email address are required so we can reply. The message is optional. If you would rather not give these details, you can email us instead.

When you send the form, we also receive the page you sent it from and how you reached the site: the website that referred you and any campaign tags in the link you followed, such as a link we shared on LinkedIn. This is kept in your browser for the visit and sent to us only if you submit the form.

We also collect limited technical and usage information when you visit the site, such as your IP address, device and browser information, pages visited, referral source, and interactions with forms and links.

We use personal information to:

• reply to messages sent through the contact form, confirm we received them, and arrange a call;
• provide, operate, secure, and improve the website and its tools;
• understand site performance and how people use the site;
• see which of our posts and messages lead to enquiries;
• prevent misuse, spam, and security incidents; and
• meet our contractual and legal obligations.

We process information where you have consented, where it is needed to provide a service you requested, where we have a legitimate business need that does not override your rights, or where the law requires it.

We use Google Analytics and Vercel Analytics to understand visits and improve the site. Google Analytics uses cookies and receives technical information about your browser, device, and activity. Vercel Analytics counts visits without cookies.

If your browser sends a Global Privacy Control signal, we do not load Google Analytics. You can also limit cookies through your browser settings. We do not sell your personal information.

We share information only where needed with service providers that help us host the site, measure usage and deliver email. These currently include Vercel, Google and Resend. They process information under their own terms and privacy commitments.

We may also disclose information if required by law, to protect rights or safety, or as part of a business reorganisation.

Vercel, Google and Resend process information in the United States and other countries outside South Africa. They do so under data protection terms that bind them to protect it, as POPIA requires for transfers across borders.

We use the details you send through the contact form only to reply to you and arrange a call. We do not add you to a mailing list or send you marketing emails.

We keep personal information only for as long as reasonably needed for the purpose it was collected, including to provide services, maintain business records, resolve disputes, and meet legal obligations. Retention periods vary by the type of information and the service involved.

We use reasonable technical and organisational safeguards to protect information. No internet service is completely secure, so we cannot guarantee absolute security. If a security compromise affects your personal information, we will tell you and the Information Regulator as POPIA requires.

Under POPIA you may ask us to confirm whether we hold your personal information and to see it, correct it or delete it. You may object to processing, including for marketing, and withdraw consent at any time. Withdrawing consent does not affect processing that was lawful before withdrawal.

If you are not satisfied with how we handle your information, you may complain to South Africa's Information Regulator at enquiries@inforegulator.org.za.

This site is intended for business users and is not directed at children. We do not knowingly collect personal information from children without the authorisation required by law.

We may update this policy as our services or legal obligations change. We will publish the revised policy here and update the date shown above.
